Pat McKenna Realtors is growing and we are looking for a highly organized, detail-driven Transaction & Operations Coordinator to join our Marlton, NJ office. This is a full-time, in-person role supporting one of South Jersey’s top producing real estate teams.

We are seeking someone who thrives in a fast-paced real estate environment, communicates clearly, and can confidently manage multiple transactions at once while maintaining accuracy and structure.
What This Role Looks Like
This position is the backbone of our transaction process. You will be responsible for keeping deals organized, on track, and moving smoothly from contract to close.
You will work closely with agents, clients, attorneys, lenders, inspectors, and vendors to ensure every detail is handled properly and every deadline is met.
Key Responsibilities
Transaction Coordination
You will prepare and manage real estate contracts, addendums, and all required transaction documents. Each file must be reviewed for accuracy and completeness before submission. You will oversee transactions from contract to closing and ensure nothing falls through the cracks.
Scheduling and Vendor Coordination
You will coordinate photography, inspections, appraisals, and other vendor services. You will also schedule and manage communication between all parties involved in the transaction process.
Administrative Support
You will support agents and leadership with daily administrative tasks, maintain accurate records, and manage internal systems and databases to ensure everything stays organized and up to date.
Client and Team Communication
You will serve as a key point of contact throughout the transaction process. Clear, professional communication with buyers, sellers, agents, and vendors is essential. You will provide updates and ensure a high level of customer service at all times.
What We Are Looking For
The ideal candidate is organized, proactive, and comfortable working in a fast-moving environment where priorities can shift quickly.
Strong communication skills, attention to detail, and the ability to manage multiple deadlines are essential.
You should also have experience with Microsoft Office, Google Workspace, CRM systems, and general office technology.
Preferred Experience
Real estate experience is a strong plus, especially in areas such as transaction coordination, title, mortgage, or brokerage operations. Familiarity with real estate contracts and MLS systems is also beneficial.
New Jersey real estate experience is especially valuable, but not required.
